Virtual registration

Accessibility is important to us. While this year’s conference is focused on a return to in person meetings following several years of COVID disruption, we are able to offer a simple virtual service which includes live stream access to all conference sessions. With four streams offered each day and 14 symposia in the mix this means access to the sessions you just can’t miss!

$60 for a day registration or $150 for all three days (GST inclusive)

This is an option intended for viewers not presenters. As previously signalled, due to the in person focus of the conference and large numbers of presentations presenters are asked to present in person. Thank you for your understanding.

Payment is required at the end of the registration process by Credit/Debit Card (MasterCard or Visa accepted). All fees are expressed in $NZ and include GST of 15%. For Group bookings or invoice payments, please contact us before completing your registration.

If you do request payment by invoice, please ensure that payment is made within 7 days. Your invoice/receipt will be attached to your confirmation email.

Carbon Emissions

The NZ Ecological society has a number of sustainability goals. One of these is to minimise the impact of our conferences on the environment. To assist in achieving these goals a small fee is included in the registration rates to offset event carbon emissions. 

Method of calculating carbon credits
Using carbon calculators (co2.myclimate.org  & calculator.toitu.co.nz), an estimated carbon offset has been calculated for the event footprint as well as anticipated travel and accommodation (based on previous event data). 

How the funds will be distributed
A New Zealand charitable organisation with carbon offsetting activities will be selected by the 2022 organisers as a recipient for collected funding. This year's funding will be split equally between two local charities: The Sinclair Wetlands Trust and STOP (Save the Otago Peninsula).

Registration cancellation & refund policy

We understand that circumstances can change. Cancellations must be notified in writing by email to nzes@confer.co.nz. Cancellations received on or before 16 October 2022 will be charged an administration fee of $100. No refund will be given for registration cancellations received after 16 October 2022 (including “no shows” at the conference) with exception of those which apply under the COVID policy below. Registrations can be transferred to another delegate at any time with no change fee. 

COVID & virtual registration 

This year’s conference in Dunedin will be the first in-person NZES conference since 2019. Given the global spread of Covid-19 the NZES council needed to make the difficult decisions to cancel in 2020 and hold a virtual conference in 2021. These decisions were made in order to keep our membership safe.

While the Government has now moved to remove mask and vaccination mandates in most situations, Covid has not gone away and remains a significant threat to public health. This is particularly the case given the recent detection of new variants in New Zealand. The weight of scientific opinion supports a cautious approach to large gatherings of people from around the country as these can lead to high rates of transmission and have a detrimental impact on participants, particularly those people who are most vulnerable to the virus.

Given the weight of scientific opinion and the NZES’ responsibility to run a safe conference for all attendees, the NZES expects the following:

  • Masks (N95, KN95 or P2 ratings) to be worn. Attendees are asked to bring these with them, though some can be provided on a daily basis for those who need them.
  • Rapid Antigen Tests be taken prior to traveling and ideally before commencement of each day at the conference. RATs will be made available at the conference for those who need them
  • Maximise ventilation within the facility
  • Delegates to stay home if they are sick.

Delegates who are unable to attend the conference because of Covid-related illness are eligible to apply for a partial refund and an extension of their membership for a year. The amount will be at the discretion of the Society, depending on the financial situation at the conclusion of the conference. Alternatively, delegates may choose to gift their registration to someone else noting that there may be a cost difference to pay depending on membership status and attendance options.

Insurance

It is strongly recommended and your responsibility to have insurance to cover medical, travel, and registration expenses in the event of unforeseen circumstances.
