🧾 Presenter Registration

All presenters must register by the Early Bird deadline: Wednesday 30 September 2026 to retain their place in the programme. In-person attendance is required to present. 

🎤 Oral Presentations 

 Format & Timing 

• Presentation Type: Oral 

• Duration: 15 minutes total (12 minutes for presentation + 3 minutes for Q&A and transition) 

• Schedule: Please see the programme for session times/days  

• Session & Specific timing: The session you are part of is included in your acceptance email. The exact timing of your presentation will be advised in XXX but you can see where the sessions are placed in the overall programme currently  

🖥️ Technical Setup 

Oral presentations will take place in rooms equipped with dedicated audio-visual support at AUT City Campus, Auckland. We will be using the Sir Paul Reeves Building (room allocations to be confirmed).

Each room includes: 

• Lectern with microphone 

• Large screen with 16:9 projection 

• AV technician support 

Presenter Guidelines: 

• Save your slides in 16:9 format 

• Name your file as: Day_Session_FirstName_LastName (e.g., Tuesday_1A_Jacopo_Nesi) 

• Upload your presentation to Dropbox no later than one day before your session  

• Bring a backup copy on a USB stick, a speaker prep room will be available  

• Use the lectern computer – personal laptops will not be used unless pre-organised by special request

• A speaker prep desk will be onsite to aid any late uploading  

If your presentation includes media: 

• Embed videos/animations directly in your slides 

• Include video files in your upload 

• Mac users: Ensure compatibility with Windows systems

🧵 Poster Presentations 

 Format & Setup 

• Posters must be printed in A0 portrait format
  
  
• Include your paper number clearly at the top of your poster. If you plan to reuse your poster for other events, you may display the paper number as a removable overlay
• Velcro dots will be provided for mounting on your assigned board 

Dedicated Poster Sessions 

There will be a dedicated poster session during the conference where presenters are encouraged to stand by their posters and engage with delegates. Details will be confirmed and shared prior to the congress.

🌐 International Delegates 

• Non-New Zealand passport holders require a NZeTA or visitor visa 

• Check visa requirements early 

• Request a visa invitation letter by emailing nzes@confer.co.nz 

🔄 Changes or Withdrawals 

• If the presenting author has changed, please notify us 

• If you can no longer attend, email nzes@confer.co.nz as soon as possible 

📸 Media & Conduct 

• Delegates must seek permission from presenters/authors and event leaders to photograph or record presentations 

• Photography and videography commissioned by the local organisers may occur during the congress. If you prefer not to be photographed or recorded, email: nzes@confer.co.nz
