Important Health & Safety Requirements

You will be sent an email with a link to an online Health & Safety checklist to complete. Please ensure all staff attending the conference as exhibitors complete this checklist.

Electrical Equipment

  • All electrical equipment must show a current Electrical Compliance Tag
  • Must be the correct rating for the task and must not overload the supply
  • Check equipment before use, and keep it well maintained
  • Cable covers shall be used where appropriate, or cables taped across walkways
  • All electrical equipment must be tagged and tested before it comes onsite. Personal items (laptops, phones) aren't required to be tagged but it's recommended — untagged equipment will be tagged onsite before use, at a charge.

Exhibition Terms & Conditions

Insurance & Liability

Sponsor/Exhibitors are responsible for their own public liability insurance. Exhibitors are responsible for all their exhibits and contents and are advised to carry their own insurance for the loss, theft, and damage or otherwise of their belongings over the period of the conference. This insurance should remain in force until exhibits are removed from the exhibition. No liability is held by ChemEd BioLive Conference, Conferences & Events or University of Canterbury for any damage or loss of any exhibitors' material brought into the venue, prior, during or after the event. Exhibitors must assume all responsibility for any damage caused by themselves or their equipment to the exhibition area.

Pack-in and Pack-out

Exhibitors must adhere to the pack-in and pack-out times advised.

Hanging of Materials

No adhesive tapes, pins or drawing pins, thumbtacks, nails, screws or staples are to be attached to the venue floors, walls, columns, windows, ceilings or any other permanent fixtures. Should cables need to run across floor areas, these must be installed adhering to current Health and Safety requirements.

Cleaning

University of Canterbury will provide general cleaning of the exhibition common areas. It is, however, the responsibility of the exhibitor to always maintain their stands (exhibits and furniture) in a tidy condition. Exhibitors are to make their own arrangement for removal of items not for display purposes and rubbish resulting from unpacking exhibits — carton boxes, crates, plywood, materials for their stand construction and interior fittings — from the area before the exhibition opens. At the close of the event all exhibits and constructed items should be removed immediately after the close of the exhibition.

Competitor Displays

Exhibitors must respect the stand space of other companies and are not to enter other stands or handle products unless invited. The borrowing and/or removal of competitors' display material/samples/literature is prohibited and may result in censure.

Security of Your Products and Equipment

We strongly recommend that you do not leave any valuables at your stand overnight. While the building will be securely locked, we cannot accept responsibility for any lost, stolen, or missing items.
